This exciting role see’s you monitor stock levels, place purchase orders, and managing their progress through to receipt. You will additionally be the liaison with those suppliers and manufacturers on a day-to-day basis, and furthermore be involved in benchmarking existing and sourcing new suppliers for ancillary items such as stationery and packaging. Various other administration tasks are also required, such as data entry/KPI management/reporting and wider operational and administration tasks as required by the Operations Director.
What we are looking for
? Experience of supervising others (preferred)
? A high level of organisational skills (essential)
? Experience of using OrderWise (or other ERP system) (preferred)
? Skilled in Microsoft Office suite - (preferred)
? Skilled in Microsoft Excel
? Communication Skills. Ability to:
? Write, read, analyse, and interpret information and reports
? Interpret a variety of information furnished in written and oral form.
? Communicate at all levels
? Mathematical: Excellent numerical skills (essential)
? Negotiation Skills: Ability to negotiate with suppliers (preferred)
? Ensure that all paper/electronic records are dealt with in line with GDPR Regulations.
? Attend any training courses that are deemed necessary.
? Any other task as requested by management.
? Provide cover for other duties in case of sickness or annual leave.
What you will be challenged with
? The raising of purchase orders for suppliers via forward planning using ERP (Orderwise). The purchase orders/standing orders are to be regularly reviewed and amended as appropriate. This includes stock, non-stock, free issued goods, consumables, and also raw materials held at suppliers’ premises.
? Progress purchase orders with suppliers to prevent any out-of-stock situations, ensuring that orders are chased regularly, and ERP (Orderwise) is kept up to date with expected delivery times.
? To keep ERP (OrderWise) up to date and accurate with any changes relevant to operations, supplier details, pricing, staffing, new products, etc.
? To inform Warehouse Management in good time of details and date of arrival of deliveries.
? To maintain and build on relationships with suppliers which includes supplier visits, where appropriate and regular communication/meetings.
? Cross checking accuracy of booked in goods against paperwork, i.e. Quantity, batch number and expiry date details.
? To review current pricing and negotiate with suppliers where appropriate.
? To benchmark existing products/suppliers and source new suppliers as/when required.
? Food Safety. – Involved in managing the BRC quality management system.
? Regular contact with suppliers in both written and verbal form.
? Data entry for reporting against Operational measures
? Pull together data and review against targets.
? Analyse data and produce daily/weekly/monthly reports for Operations Director.
